SharePoint has for many years silently held all corporate knowledge within its structure. Policies, projects, onboarding documentation, client information – there is hardly any organization that does not have at least part of its corporate memory stored within some SharePoint instance. But the problem has never been about storage – it has always been about access. Anybody who has had the unpleasant experience of looking for some document buried deep within the SharePoint folder hierarchy can relate to that experience firsthand.
Agentic AI is starting to change this balance, and it is important to know why it matters.
What Makes AI "Agentic" in the First Place
Standard chatbots respond to questions as directed, only once, and then do no more. This changes with Agentic AI. Rather than responding once to an inputted question, the agent has the ability to take steps, use tools, evaluate its own actions and complete a process. Ask for the "latest vendor contract" and the agent could explore many libraries and find that there were three versions but select the one most recently approved and outline the changes made.
This is important in a SharePoint environment because data is rarely found in one area; rather, it will be found across libraries, lists, and Team sites with permissions that vary depending on departments. Reasoning in a way that makes sense of this system is a different tool from the traditional search and is the next evolution of SharePoint development – not replacing the platform, but accumulating a layer of reasoning on top of what's already there.
Knowledge Management Was Always the Real Challenge
The purpose of the document system was not the documents, but whether people could take action on the knowledge contained in them. Search boxes made the responsibility of navigation lie with the human being, meaning that one needed to have an idea of what he or she was searching for and how to refer to it. However, agentic AI reverses that principle in that it makes the system adapt to the question rather than the user having to adapt to the folder structure.
The Role of Thoughtful AI Agent Development
All of this does not occur automatically simply as a consequence of the new AI functionality going into production. AI agent development that operates dependably within a particular SharePoint implementation involves designing an AI agent in such a way that it knows where its limits are in terms of what it may access, how it deals with conflicting information, and how it operates within permission boundaries that already exist around viewing rights. This task requires much more engineering than dazzling AI functionality. Getting an Agent Running in Your Own Tenant
There are two different paths, depending upon how complex the task at hand really is.
The simplest path – built-in SharePoint agents. Select the agent icon on your document library, and now you have an intelligent tool right off the bat that understands everything in the document library. You can customize its voice, tone, and even folder sources, without programming.
The second path – Copilot Studio. In cases when a problem goes beyond the limits of a single library – like connecting to a CRM or ERP system, handing over control from one agent to another for additional information, or implementing identity passthrough so the agent can see only what the user is authorized to see – this is how it all comes together. Here is where the true AI agent development takes place.
What About Oversharing?
This is the obvious next question once the excitement dies down: If the agent can perform a search that is quicker and wider-ranging than a human, why can't it uncover information that it shouldn't?
Firstly, permissions are involved here. The agent cannot deliver anything that the individual wouldn't be able to access themselves; no permission, no access for the agent.
The identity of each agent can be traced back to its source. This is done through Entra Agent ID via the Power Platform Admin Center.
The sensitivity labels don't get scrubbed away either. The Microsoft Purview label that designates a file as "confidential" travels with it and doesn't get scrubbed away due to it being AI system generated.
This doesn't make governance a solved problem forever, but the architecture wasn't naive about the risk.
A Gradual Shift, Not an Overnight One
It is tempting to think of this change in terms of a dramatic overhaul, but many organizations are still figuring out what problems truly warrant a complex agent-based solution and how they compare with simple automation solutions and better library tagging. The certainty comes from the understanding of what lies ahead: the future of SharePoint development will have more to do with finding a colleague, who knows everything in the SharePoint repository inside and out and can be asked questions in natural language.
In thinking about what it means in practice, it should not start with a full AI adoption; it should rather start from identifying the one piece of information that people struggle with the most and making the effort to find it easy and seamless instead of difficult and tedious. That's where the value of agentic AI in SharePoint begins to show.
